GuideOnce

GuideOnce is the live AI training and education arm of MATAX, Inc., a San Francisco accounting and automation firm. It helps bookkeepers, accountants, firm owners, and staff build practical AI skills for their work without needing a technical background. Led by working practitioner Dawn Hatch, the programs draw on MATAX’s experience serving small businesses and startups, and focus on using AI safely and effectively in real client workflows.

GuideOnce offers training in three areas: AI foundations for firms, automation of internal operations, and AI-enabled client services. Participants learn how to evaluate tools, protect client data, document AI use, and create no-code workflows for tasks such as transaction categorization, bank reconciliation, onboarding, and document collection. Training also covers client-facing tools, financial reporting, cash-flow insights, and advisory services. Its approach combines practical guidance with live sessions and hands-on implementation, typically taking participants from setting firm policies to building and documenting workflows in about a week.
